Terms of Use
These terms explain the arrangements for our training courses, online learning and supervised model appointments. Please read the sections relevant to you before booking.
1. About Us
Hampshire Aesthetics Training Academy is a trading name of Adorn Aesthetics Hampshire Ltd, registered in England and Wales under company number 12871113.
Address: London Street, Whitchurch, Hampshire RG28 7LN.
Email: info@hampshireaestheticsacademy.com.
The academy and the clinic are operated by the same company, but have different booking arrangements. Routine clinic appointments, not relevant for training, are subject to the clinic’s own terms.
2. Booking Information and Agreements
These website terms should be read alongside the relevant course or treatment description, booking confirmation and either our Delegate Training Agreement or Model Terms and Conditions.
We will provide the applicable terms before you commit to a booking. Any specific arrangements or changes must be agreed in writing. Subsequent website updates will not automatically change an existing booking.
Submitting an enquiry or application does not confirm a place, appointment or eligibility.
3. Training Eligibility
Course entry requirements vary according to the treatments taught and the level of training.
Healthcare professionals and suitably qualified non-medical practitioners may apply where permitted by the individual course requirements and our training insurer.
We may request identification, professional registration details, qualifications, evidence of previous training and a portfolio of practical experience.
Applicants must provide accurate information and notify us of relevant changes. Places are subject to verification of eligibility and suitability.
Before booking, delegates must confirm with their chosen insurer that their qualifications, experience and proposed training meet its requirements for the treatments they intend to offer. Acceptance onto a course does not guarantee insurance cover.
4. Course Fees and Confirmation
-
A booking payment of 25% of the total course fee is normally required.
-
The remaining balance is due no later than 14 days before the first practical training date.
-
For bookings made within 14 days of the first practical date, full payment is required.
-
A place is confirmed once eligibility checks are complete, the required payment and signed Delegate Training Agreement have been received, and we have issued confirmation.
-
The total price, including any applicable VAT and agreed additional charges, will be confirmed before booking.
If payment remains overdue after a reminder, we may suspend access or cancel the booking, subject to the applicable cancellation terms and your legal rights.
5. Cancellation Rights for Training Bookings
Where a statutory cancellation right applies, you may cancel within 14 days beginning on the day after your booking is confirmed, without giving a reason.
To cancel, email info@hampshireaestheticsacademy.com with your name and booking details. A clear statement of your decision is sufficient. You may also use the cancellation form provided with your booking documents.
Our standard position is to provide a full refund for cancellation within an applicable cooling-off period, normally within 14 days of receiving notice and using the original payment method.
If you request online access or practical training before that period ends, we will explain any effect on your cancellation rights and obtain any legally required express consent and acknowledgement separately. Simply receiving login details or signing the general agreement does not automatically waive cancellation rights.
6. Training Cancellations and Transfers
After any applicable statutory cancellation period, the following cancellation charges normally apply, subject to the fair-loss provisions below:
-
More than 14 days before the first practical date: up to 25% of the total course fee.
-
8–14 days before the first practical date: up to 50% of the total course fee.
-
7 days or fewer before the first practical date: up to 100% of the total course fee.
These are maximum charges, not automatic penalties. The amount retained or payable will reflect our reasonable net loss, taking account of costs saved and any replacement booking. We will take reasonable steps to reduce our losses and will not recover the same loss twice.
One transfer may be agreed, subject to notice, availability and the circumstances. An agreed transfer normally carries a £50 administration fee, with payments already received credited towards the replacement date. Replacement training should normally take place within six months unless agreed otherwise.
Please contact us promptly if serious illness or another unforeseen circumstance affects attendance. We will consider requests fairly and may waive the administration fee where appropriate.
7. Online Learning and Course Materials
Required theory, reading and knowledge checks must be completed before practical attendance by the deadline communicated to you.
Delegates need suitable equipment, internet access and sufficient time to complete the learning. Please tell us promptly if a technical issue prevents access.
Online learning access is normally available for six months from the date it is first provided, unless otherwise agreed in writing. Login details are personal and must not be shared.
You may retain authorised downloads, make personal study notes and use reasonable extracts for your own learning and professional reference. You must not distribute, sell, publish or use academy materials to create or deliver another training course without written permission.
Incomplete prerequisites may prevent practical participation. Any reasonable additional costs for rearranged teaching or assessment will be explained before arrangements are agreed.
8. Practical Training and Models
Practical training may include demonstrations, supervised treatment, discussion, feedback and assessment.
Delegates must follow trainer instructions and the academy’s infection-prevention, clothing and conduct requirements. Trainers may pause, modify, take over or stop treatment where necessary for safety or model welfare.
Models are normally arranged by the academy. Treatment depends on clinical suitability and informed consent. A particular model, product, number of treatments or cosmetic outcome cannot be guaranteed.
If model cancellation, non-attendance or unsuitability prevents a material treatment area included in the course from being adequately demonstrated or practised, we will offer an additional supervised opportunity at no extra charge, subject to availability. This does not limit any other applicable remedy.
Additional training required because of incomplete preparation, lateness or an individual learning need may carry a reasonable fee, explained in advance.
9. Assessment, Certification and Independent Practice
Certificates are awarded following satisfactory completion of the required learning and assessment. Attendance alone does not guarantee successful completion.
If further learning, supervised practice or reassessment is needed, we will explain the requirements, arrangements and any applicable fees.
A CPD or completion certificate does not create a statutory licence, guarantee insurance acceptance or, on its own, confirm competence to practise independently.
Delegates remain responsible for working within their competence, maintaining appropriate insurance and meeting applicable professional and legal requirements. Before independent practice, they must have appropriate complications-management, prescribing-support and referral arrangements.
10. Model Eligibility and Treatment
Models must be aged 18 or over and must not be pregnant or breastfeeding at the time of treatment. Additional treatment-specific requirements may apply.
Applicants must provide accurate medical information and, where requested, clear, recent and unedited photographs. Relevant changes must be disclosed before attendance.
Model appointments take place in a supervised training environment and may take longer than routine clinic appointments. Treatment may be provided by an eligible delegate or demonstrated by the trainer under the academy’s supervision arrangements.
We will explain who will be involved and their role before obtaining consent. An application or payment does not guarantee treatment.
Treatment-specific risks, limitations and alternatives will be discussed before treatment. Models may ask questions and withdraw consent at any time. Booking acceptance does not replace informed treatment consent.
11. Model Fees and Payments
The standard model booking fee is £50. A £30 fee may apply to a shorter single-area appointment where expressly confirmed before booking.
The booking fee is separate from the discounted treatment fee and is not deducted from it unless your booking confirmation states otherwise. The total expected cost will be explained before booking.
The treatment balance is payable after assessment and immediately before treatment. Any proposed change to treatment or price will be explained and agreed before proceeding.
No treatment balance is payable for treatment that is not provided. Any such balance paid in advance will be refunded.
12. Model Cancellations and Clinical Unsuitability
Please contact us in writing as soon as possible if you need to cancel or rearrange.
-
At least 72 hours’ notice: we will offer one transfer to an available suitable model appointment. If no suitable alternative can be offered, the booking fee will be refunded.
-
Less than 72 hours’ notice, non-attendance or arrival too late to proceed: we may retain up to the booking fee, limited to our reasonable net loss after allowing for costs saved or a replacement booking.
-
Clinical unsuitability identified at the appointment: where the information supplied was accurate and complete, the booking fee and any prepaid balance for unprovided treatment will be refunded.
-
Choosing not to proceed after assessment: your decision will be respected. No treatment balance is due; the booking fee remains subject to the fair cancellation provisions above.
Knowingly false or materially misleading information may result in treatment being declined and reasonable unavoidable losses being deducted from the booking fee. This does not apply to an honest mistake or a change disclosed promptly.
Any statutory cancellation rights that apply take priority over these arrangements.
13. Treatment Outcomes, Aftercare and Concerns
Aesthetic outcomes vary and cannot be guaranteed. Dissatisfaction alone does not automatically entitle a model to a refund or repeat treatment where services have been provided as agreed and with reasonable care and skill.
Models will receive aftercare information and contact arrangements. Clinical concerns will be assessed appropriately, with review, treatment or referral where indicated. Attending as a model does not remove our responsibilities for care and follow-up.
Dissolution or reversal is not appropriate for every product or concern. Elective changes requested solely for a different cosmetic result may be chargeable, with any fee agreed in advance.
For urgent concerns, use the clinical contact details provided with your appointment. Do not rely on a general email response in an emergency. Call 999 for a medical emergency.
14. Changes or Cancellation by the Academy
We may make reasonable changes to maintain safety and the agreed learning outcomes. We will explain material changes promptly.
If we cancel or materially change an unprovided service, we will offer an appropriate alternative or refund for the affected service where you do not accept the alternative. A credit or transfer will not be imposed instead of a refund where you are entitled to one.
This does not limit any other legal rights or remedies.
15. Privacy, Photography and Conduct
Personal information is handled in accordance with our Privacy Policy, including information used for applications, clinical assessment, training, certification and complaints.
Clinical or assessment photographs and recordings will be explained and handled under the applicable privacy and consent arrangements. Marketing consent is separate and optional.
Delegates and models must respect others’ confidentiality and must not photograph, record or share information without appropriate permission.
Unsafe, abusive, threatening or discriminatory behaviour may result in participation being stopped. Any financial consequences will be assessed fairly rather than treated as an automatic penalty.
Please tell us about accessibility or learning-support needs before attendance so that we can discuss reasonable adjustments.
16. Website Use
Website information provides general guidance about our services. It does not replace individual eligibility checks, clinical assessment or treatment advice.
You must not misuse the website, attempt unauthorised access or copy academy content for commercial purposes without permission.
We aim to keep information accurate and correct errors promptly. Nothing in this section removes our responsibility for the information and services we provide.
17. Complaints and Assessment Appeals
Please send complaints or assessment appeals to info@hampshireaestheticsacademy.com, including your name, relevant booking details and a description of the concern.
We will explain the applicable process and respond within the timescales set out in our complaints or appeals policy. Using these procedures does not affect your legal rights.
18. Our Responsibilities and Governing Law
We will provide services with reasonable care and skill. We do not guarantee particular clinical, career, financial or insurance outcomes.
Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any liability or statutory right that cannot lawfully be excluded.
These terms are governed by the law of England and Wales. Consumers living elsewhere retain any mandatory legal protections and rights to bring proceedings available to them.
